If a passenger's medical clearance is withdrawn by their physician after a booking has been made, the passenger is entitled to a full refund of all amounts paid to Pelorus Voyages, regardless of how close to the departure date the withdrawal occurs. This provision applies at any point from the date of booking up to and including the day before the departure window opens. A withdrawal submitted on departure day itself — after the pre-departure health check has been completed and boarding has commenced — does not qualify for the medical disqualification refund; at that point, the voyage is considered commenced and the standard cancellation policy applies to any unused portion.

To initiate the medical disqualification refund, the passenger must submit to Pelorus Voyages bookings support: a written statement from the certifying physician explicitly withdrawing the previously issued clearance, the physician's contact details for verification, the original clearance document reference number, and the Pelorus Voyages booking reference. Pelorus Voyages will verify the withdrawal with the physician's office, which typically takes three to five business days. The refund is processed after verification is complete; processing time then follows the standard timeline for the passenger's payment method.

The medical disqualification refund covers amounts paid to Pelorus Voyages only. It does not cover third-party costs the passenger may have incurred in preparation for the voyage — flights to the launch terminal, accommodation, pre-voyage training materials purchased from third parties, or independent travel insurance premiums. These costs are outside the scope of the Pelorus Voyages refund and would be addressed by the passenger's standard travel insurance if applicable.

If a passenger is travelling with companions under the same booking reference, the medical disqualification refund for one passenger does not automatically apply to the other passengers' fares. Companions who choose not to travel as a result may request a refund under the standard cancellation policy, with fees calculated based on how far in advance of departure the cancellation is requested. In cases where the disqualified passenger is the sole basis for the trip — for example, a dependent travelling with a parent — contact bookings support to discuss the specific situation; compassionate cancellation consideration may be available.

Passengers should not use the standard cancellation process for a medical disqualification refund. Processing a standard cancellation before the medical disqualification claim is reviewed may result in cancellation fees being applied, which complicates the full-refund entitlement. Always contact bookings support first and request the medical disqualification claim process.
