Group bookings of eight or more passengers are subject to a modified cancellation policy with an extended free cancellation window. Individual bookings and groups of fewer than eight passengers follow the standard 14-day free cancellation window.

For group bookings of eight or more passengers, the free cancellation window is 21 days from the date the group booking is confirmed. Cancellations of the entire group booking submitted within 21 days of the confirmation date receive a full refund for all passengers with no fee. After the 21-day free window closes, cancellation fees apply to the group booking at the same tiered rates as the standard policy, calculated on the total group fare.

Partial cancellations — where some passengers in a group cancel while others proceed — are assessed individually. Each departing passenger's refund is calculated based on when their individual cancellation is submitted relative to the departure date, using the standard cancellation fee schedule. The group's remaining passengers are not affected unless the cancellation reduces the group below eight, in which case the remaining passengers' booking loses the 21-day extended window benefit for any future cancellations (the window has typically already passed by this point).

The 21-day extended window applies to the group booking as a whole, not to individual passengers within the group. A single passenger in a group of 10 cannot invoke the group's extended window as personal benefit to cancel individually without fees if the 21-day window has passed; the extended window is a property of the group booking, not of individual passengers within it.

Groups that reduce below eight passengers between booking and departure — whether through individual cancellations, medical disqualifications, or other reasons — lose the group benefits for the remaining voyage (priority berth assignment, group dining table, private briefing session) if the threshold is no longer met. The 5 percent group discount applied at booking for groups of 10 or more is not clawed back if the group subsequently drops below 10.

Group bookings are managed through the Pelorus Voyages group reservations desk. Requests to cancel a group booking, add passengers to an existing group, or make any change to a group booking reference must be directed to the group reservations desk, not to standard bookings support.
